Coordinating Arrival,
Transfers and Hotel Check-In
At some point, all your group members will need to be at the same place, at the same time. It may be the gateway airport at your destination, the hotel or the liveaboard dive vessel. Wherever and whenever this is supposed to take place, it may not happen unless you help orchestrate it.
- Start by making certain you have a written itinerary for those group members not traveling with you. This way, if they do not show up on time, you have a shot of finding out what has become of them.
- Make certain at your pre-trip meeting (if not before) that everyone understands exactly where and when they need to meet, and how to get there. Be clear as to whether they need to get a taxi or if there will be a shuttle van or other vehicle waiting for them.
- For those group members travelling with you, you can greatly facilitate matters by personally arranging for taxis, baggage handling and similar details. It is certainly easier (and less expensive), for example, for you to deal with one porter than it is for each group member to do so on his or her own.
- If staying at a hotel, you will most likely need to assist in checking in all of your guests — including those who may be arriving early or late.
- At some resorts, you may need to help coordinate meals and dining times. This may also entail interceding on behalf of guests with special dietary requirements.
