Avoid Disclosing Other Customers’ Addresses When Sending E-Mail

While you will probably want to use a commercial list server to send e-mail messages to your entire mailing list, there will be instances where you need to send messages to a comparatively small number of people (an example would be the targeted e-mail messages we discussed earlier). When doing so, there is something it’s very important you avoid. Here it is:

No BCC Used

Have you ever gotten an e-mail addressed to you and 99 or more other people? You can tell exactly whom the message was addressed to, because their e-mail addresses (along with yours) appear in the TO: section of the message header.

Not only does this appear cluttered, you now have all these strangers’ e-mail addresses — just as they now have yours. Odds are, none of you are happy with this situation.

Don’t do this to your customers. When sending e-mail to multiple customers, paste your customers’ e-mail addresses in the BCC: (Blind Carbon Copy) section of the message header. You can address the TO: section to yourself, or to Undisclosed@YourDiveCenter.com. Your customers will appreciate your efforts to preserve their privacy.

BCC Field

Note: A BCC: field does not appear automatically when you create a message in Outlook Express; however, you can create one by: clicking on the Address Book icon before the TO: or CC: fields; selecting the name of at least one recipient; and clicking on the BCC: button. A BCC: field with the name of the recipient you selected will appear at the top of your message. Put all of your intended recipients’ addresses in this field and they will remain invisible to one another.
